Coaching Services and Cancellation Policy

The Positive Thinking Group offers life coaching services through our website. By purchasing a coaching package, you agree to the following cancellation policy in addition to the general Terms and Conditions outlined in this document.

Package Cancellation and Refunds

  1. Cooling-Off Period: Clients have a 30-day cooling-off period from the date of purchase. During this time, they may cancel their coaching package for a full refund, provided no sessions have been conducted.
  2. Partial Refund Period: Clients may receive a partial refund after the first and before the 2nd appointment.  The refund will be prorated for unused sessions, minus a 15% administrative fee.
  3. No Refund Period: After 30 days from purchase or after the 2nd appointment (whichever comes first), no refunds will be issued for canceling the coaching package. However, clients may still use their remaining sessions or choose to pause their package (see Package Pause section).

Why We Have This Policy: We believe in the transformative power of coaching and want to ensure that both you and we are fully committed to your growth journey. The cooling-off period allows you time to reflect on your decision without pressure. The partial refund period recognizes that circumstances can change, while also respecting the time and resources we’ve already invested in your coaching plan.

The no-refund policy after the second appointment is in place because, by this point, we’ve already created a comprehensive, personalized framework for your coaching journey. This involves in-depth analysis, strategy development, and resource preparation – all tailored specifically to your unique needs and goals. This work begins well before your first session and continues between appointments. Our commitment to your success starts from the moment you sign up, and we invest significant time and expertise into your personalized coaching plan from day one.

Package Pause

  1. Duration: Clients may pause their coaching package for a maximum of 30 days.
  2. Frequency: Clients are allowed one package pause per six-month period.
  3. Request Process: Pause requests must be submitted in writing at least 7 days before the intended pause start date.
  4. Extension: The package duration will be extended by the length of the pause period.
  5. Reactivation: Clients must confirm their desire to reactivate the package at least 3 days before the end of the pause period. Failure to do so may result in automatic reactivation.

Why We Offer Package Pauses: We understand that life can be unpredictable, and sometimes you may need to take a brief break from your coaching journey. The package pause option gives you the flexibility to manage unexpected events or busy periods without losing the value of your coaching investment. The 30-day maximum pause strikes a balance between flexibility and maintaining the momentum of your personal growth. We limit pauses to once per six-month period to ensure consistent progress towards your goals while still accommodating the occasional need for breaks.

Individual Session Cancellation and Rescheduling

  1. 24-Hour Notice: Clients must provide at least 24 hours’ notice to cancel or reschedule an appointment without penalty.
  2. Late Cancellation: Cancellations made with less than 24 hours’ notice will result in the session being deducted from the package without a refund.
  3. Rescheduling: Sessions canceled with at least 24 hours’ notice can be rescheduled within the current package period at no additional cost.
  4. No-Shows: Clients who fail to attend a scheduled session without notice will forfeit that session without a refund or the option to reschedule.
  5. Grace Period: A 10-minute grace period is allowed for late arrivals. After 10 minutes, the session may be canceled and counted as a no-show.

Why We Have This Cancellation Policy: Your time is valuable, and so is ours. This policy ensures that we can serve all our clients effectively and fairly. The 24-hour notice period allows us to potentially offer your slot to another client who may be waiting for an opportunity to accelerate their progress. It also respects the preparation time we dedicate to each session. The grace period for late arrivals demonstrates our commitment to accommodating minor delays while maintaining the integrity of the full session time for all clients.

Extenuating Circumstances

  1. Definition: Extenuating circumstances include serious illness, injury, or bereavement affecting the client or their immediate family.
  2. Policy: In cases of extenuating circumstances, the coach may, at their discretion, waive cancellation fees or offer rescheduling options outside of the standard policy.

Why We Consider Extenuating Circumstances: We genuinely care about your well-being and understand that life can present unexpected challenges. This clause allows us to respond with compassion and flexibility in times of genuine hardship, ensuring that our policy serves to support rather than hinder you during difficult times. It’s part of our commitment to treating each client as an individual and fostering a supportive coaching relationship.

Changes to the Policy

  1. The coach reserves the right to modify this policy with 30 days’ written notice to clients.
  2. Any changes will not affect packages already in progress, unless required by law.

Why We May Need to Update Our Policy: As our coaching practice evolves and grows, we may need to adjust our policies to better serve our client community and maintain the high quality of our services. The 30-day notice period ensures transparency and gives you ample time to understand and adjust to any changes. Our commitment to honoring existing agreements demonstrates our respect for you and the coaching relationship we’ve built together.

By purchasing a coaching package, clients agree to abide by this cancellation policy. It is recommended that clients review this policy carefully and ask any questions before making a purchase. We’re always here to discuss any aspects of this policy and ensure you feel comfortable and confident as you embark on your coaching journey with us.
